Using our website

When you use our website, we use Google Analytics cookies and other tools to collect information the visitor and the way in which our website is used, to potentially include the search terms you used, your IP address, your web browser and computer and the pages you visited. This information does not personally identify you. The information is used to improve the website, services to clients and our knowledge of clients. Phone Calls

All phone calls are recorded. When a call is recorded, we collect a digital recording of the telephone conversation and the telephone number of both parties (internal and external).  Personal data revealed during a telephone call will be digitally recorded, for example, name and contact details, to deliver appropriate services. 

We collect Call Detail Records of data record produced by a telephone call or other telecommunications transactions. The record contains various attributes of the call, such as time, duration, completion status, source number and destination number.  In addition, where applicable we use mechanisms to determine the source and data relating to any visit to our website, such as organic search, paid search, including keywords used.

We use cookies on our website. Insofar as those cookies are not strictly necessary for the provision of [our website and services], we will ask you to consent to our use of cookies when you first visit our website.

Purpose and Use of Data Collected

Passportia uses personal data in order to

  • assess your eligibility for a citizenship or immigration status,
  • prepare and make an application to a government for a citizenship or immigration status,
  • obtain documents needed as evidence for an application
  • Information we collect

For the purpose stated above, Passportia uses the following data for you and to the extent necessary, your spouse and each of your ancestors:

  • name, initials or pseudonym
  • details of birth, adoption, marriages, divorces and death
  • contact information such as telephone number, email address and addresses
  • history of residence, domicile, employment and nationality
  • if necessary for a citizenship claim, religion or ethnicity

You confirm i) your consent for the data you supply us to be used for the purposes stated above for you and for other members of your family who use our services and ii) that you have authority from others whose data you supply us that it may be used for those purposes.

The data you provide us is given voluntarily, however, Passportia might not be able to process your enquiry or provide services if some of this data is missing. Note that it is optional to provide names of people, but these are likely to be needed if we prepare an application to the government.

How we collect information

Information is obtained from customer input into our website, completed questionnaires, emails or via telephone calls, which are usually recorded. If customers use PayPal, information is supplied via the PayPal platform. Technical data such as IP addresses, referrer page and pages visited are logged using automated processes and cookies if the website is visited.

Time Information is held

Information will be held for a minimum of 2 years to cover UK company financial record laws and OISC regulations. After this time data may be archived. You may exercise your right to erasure as set out below.

Where information is stored

Information is stored in files on our servers located in the UK. Information is also stored in email correspondence, stored and archived on the Microsoft Office 365 GDPR compliant system. Passportia staff, its subcontractors and the support staff of its systems suppliers, in particular Aora Group Limited, have access to this data. If you become a client, your personal data may also be stored in a paper file to which our employees have access. Passportia does not provide data to other third parties without your consent.

Data Security

We have appropriate security measures to prevent your personal data from being accessed, lost, altered, used or disclosed in an unauthorised way. We limit access to your personal data to those employees and other organisations that we share data with in order to process your enquiry or provide services. They will only process this data on our instructions, and they are subject to a duty of confidentiality.  We have a procedure to deal with any suspected personal data breach and will notify you and any applicable regulator of a breach where we are legally required to do so.

Legal requests

Your data will be shared if required to do so by law or if we receive a valid legal request by our regulators, the police or a government department conducting an audit or investigating.

Your Rights

  • The right to access: you have the right to request Passportia a copy of your personal data, and this will be serviced to the extent feasible and may be supplied in machine-readable electronic format. We may charge you a small fee for this service.
  • The right to rectification: you have the right to request correct information you believe is inaccurate or incomplete, subject to supplying proof of this where applicable.
  • The right to erasure: under certain circumstances, you have the right to request Passportia to erase your data. Note, however, that we may not always be able to comply with your request for legal reasons which would be notified or under the terms of a contract you may have entered into with us.
  • The right to restrict processing: under certain circumstances, you have to the right to ask Passportia to restrict the processing of your personal data.
  • The right to object to processing: you have the right to object to Passportia processing your personal information.
  • The right to data portability: you have the right to request that Passportia Limited transfer your personal data to another organisation or yourself, and this will be serviced to the extent feasible and may be supplied in machine-readable electronic format. We may charge you a small fee for this service.
  • The right to withdraw consent at any time where we are relying on consent to process your personal data. However, this will not affect the lawfulness of any processing carried out before you withdraw your consent. If you withdraw your consent, we may not be able to provide certain services to you. We will advise you if this is the case at the time you withdraw your consent.

 

If you would like to exercise any of the rights above, please email gdpr@passportia.org. Passportia will respond within one month. Your rights to erasure, to restrict or object to processing and to withdraw consent may be limited by the terms of any contract entered into with us.
